Once signups start arriving, the Signups tab on an event is where you work: see who's coming, fix a typo in someone's email, cancel on their behalf, check people in on the day, and export the whole list.
The signups screen #
Open the event and choose the Signups tab.

- Slot and Status filters narrow the list — one shift at a time, or everyone who is waitlisted.
- Add signup lets a manager place someone into a slot without asking them to submit the public form.
- Export CSV downloads the list, including a column for every custom field.
- Each row carries the participant's details and the actions you can take on them.
Group by slot (the default) shows one table per slot with a 3/8 confirmed count in each header, which is the view you want when you are trying to fill a shift. All signups flattens everything into a single table.
Statuses #
| Status | Meaning |
|---|---|
| Confirmed | Holds a spot |
| Waitlisted | Queued for a spot; promoted automatically when one frees up |
| Pending | Recorded but not yet holding a spot; assigned manually by a coordinator or API integration |
| Cancelled | Gave up their spot; the seat has been released |
| No Show | Didn't turn up; assigned manually after the event |
The normal attendee form assigns Confirmed or Waitlisted automatically. It does not create a Pending signup or mark someone No Show for you.
Editing, cancelling, checking in #
Add signup opens a manager form for the person's name, optional email and phone, slot, quantity, and notes. The signup is added silently by default. Turn on Send confirmation email when the person supplied an email address and should receive the normal confirmation and cancellation link. Managers may leave email blank even when the public event form requires it.
Edit opens a signup so you can correct the name, email, phone number, quantity, status, slot, or notes. Moving a confirmed signup checks the target slot's capacity before saving and releases the old spot only when the move can be completed safely.
Custom-question answers are included in attendee and organizer emails and in Export CSV, but the current Signups editor does not display or change those answers.
Cancel opens a confirmation dialog and releases the spot. Sending a cancellation email is off by default; select it when the person should be notified. If the slot has a waitlist, the first person queued is still promoted immediately and receives the waitlist-promotion email. A participant cancelling from their own secure link always receives the normal cancellation confirmation.
Check In marks someone as present. It is meant for the day of the event: pull up the Signups tab on a phone or tablet, filter to the slot in progress, and tap Check In as people arrive. Checked-in rows show a ✓ instead of the button.
Exporting the list #
Export CSV gives you one row per signup with the standard fields, the slot, the status, and a column for each custom field. It opens in any spreadsheet, which makes it the right tool for printing a sign-in sheet, building name badges, or handing a roster to whoever is running the shift.
The Export action on the Events list does the same thing without opening the event first.
For the full history of capacity changes — every spot taken, released, and promoted, with timestamps — see Activity Log and Stock History.
