A potluck signup sheet is one page on your site, one link you share, and a list of what the table needs with counts that fill in as people claim them. Add a setup shift and a cleanup shift and the same sheet staffs the room. This guide builds the whole thing with Manifyst in about an hour, step by step, with the clock. The finished sheet looks like the live demo: a Fall Harvest Potluck with three shifts and four kinds of dish.
What a good potluck sheet asks for
The sheets that fill up ask for categories, not dishes. Nobody wants to be the one who signs up for "green bean casserole" and finds out it was already taken by email. Ask for four mains, six sides, six desserts and three drinks, let people claim a share of each, and the dish itself goes in a note. Size the list to the headcount: for forty people, four mains that each serve eight is about right, and more sides and desserts than you think.
Then two or three shifts around the meal. Setup an hour before, serving during, cleanup after. The people who cannot cook are the ones who will take those, and the sheet gives them a way to say yes.
1. Write the list first (10 minutes)
Before you open WordPress, write the list on paper, one line per thing with a count:
- Main dish, 4. Serves eight or more.
- Side or salad, 6.
- Dessert, 6.
- Drinks, 3. Two litres, any kind.
- Setup crew, 4 people, 4:00 to 5:00.
- Serving, 6 people, 5:00 to 7:00.
- Cleanup, 4 people, 7:00 to 8:00.
Put any rule in the line itself: nut-free, labelled with ingredients, in a dish you do not need back. The sheet will show that rule beside the item, where people read it.
2. Create the event (10 minutes)
Go to Manifyst → Add Event and choose Mixed shifts and items as the starting point. (A sheet with no shifts is Potluck or items.) Then fill in the form:
- Title is what people see at the top of the page: "Fall Harvest Potluck".
- Description is the who, where and why: the date in words, the room, who to call.
- Date & Time: choose Scheduled date and set the start. If the date is still in discussion, choose Date TBD; the sheet takes signups anyway and you add the date later.
- Organizer is the name and email on the page. Signup notifications go to that address.
Click Save Draft. Nothing is public yet, and Manifyst opens the Slots tab for you. Creating an Event covers every field on this screen.
3. Add the shifts (10 minutes)
On the Slots tab, click Add Slot for each shift from your list:
- Slot Title is the job: "Setup crew".
- Date, Start and End are the hour, so the reminder email can say when.
- Capacity is how many people you need. Waitlist is how many extra may queue once it fills; 2 is plenty for a potluck, and when someone drops out the first person on the list is promoted and emailed by itself.
Three shifts, three minutes each. Drag the rows into the order of the evening. Adding Time Slots has the details, and Waitlists and Cancellations explains what happens when a shift fills.
4. Add the dishes (10 minutes)
On the Items tab, click Add Item for each line of food:
- Item is the category: "Main dish".
- Description is the rule: "Serves eight or more. Please label allergens."
- Quantity needed is the count: 4.
On the page, each item shows a running count, "2 of 4 claimed", and a family can claim two desserts in one go. When an item is covered it is marked as such and nobody else can take it, which is the whole reason to do this on a sheet instead of a group chat. Potlucks and Items to Bring covers partial claims and the counts.
5. Three settings worth a minute (5 minutes)
Back on Event Details, after the first save, the signup settings appear. Three matter for a potluck:
- Show signups publicly, on. People want to see who is coming and what is covered. Names show as a first name and last initial.
- Show a notes box, on. This is where "chili, mild, in a slow cooker" goes, so the organizer knows what is actually arriving.
- Allow attendees to cancel their own signup, on, with a Cancellation deadline of 48 hours. Every confirmation email then carries a cancel link, and the item or shift reopens by itself when someone drops out.
Leave One signup per person off. A household that brings a dessert and takes the cleanup shift is two signups, and that is what you want. If a few families tend to take everything, Max signups per user caps it; see How do I stop one person taking every slot?.
6. Check the email once (5 minutes)
Go to Manifyst → Settings → Email. Set From Email to an address on your own domain, not a Gmail address, or the confirmations land in spam. Click Send Test Email to yourself and open it.
Turn Send Reminder Emails on with Reminder Hours Before Event at 24. The reminder goes to everyone who is confirmed, the day before, with their shift or their dish in it. If you want a line in every confirmation, "Please bring a serving spoon and a card with the dish name," open the Signup Confirmation template and put it in Additional Message. Email Notifications covers the six emails and the deliverability check.
7. Preview, activate, share (5 minutes)
Open Event Details and click Preview as Attendee. This is the real page, visible only to you until the event is active. Read it on your phone, because that is where most people will sign up.
Click Activate Event, then Copy link. That link is the sheet. Send it once to the list, once to the group chat, and put it on the flyer as a QR code. Everyone lands on the same page and the counts are the same for everyone.
Sign up for one thing yourself. You get the confirmation email, the organizer notification, and the cancel link, and now you know the whole chain works before anyone else uses it. Displaying Events on Your Site covers putting the sheet inside an existing page with the Manifyst Event block, if you would rather not send people to the event's own page.
A Thanksgiving potluck sign up sheet
Thanksgiving changes the list, not the steps. The host usually roasts the turkey, so the sheet asks for everything around it, and the hard part is oven space, not dishes. Build it the same way, with these lines:
- Side dish, 8. Description: "Arrives hot and ready to serve. The oven is full of turkey."
- Rolls or bread, 2.
- Pie or dessert, 6.
- Drinks, 3.
- Cranberry sauce, 1, and Gravy, 1.
- Carving and serving, 2 people, the half hour before the meal.
- Cleanup, 4 people, after the meal.
Cranberry sauce and gravy are the one exception to categories over dishes. The meal is not Thanksgiving without them, and nobody thinks to bring them, so each gets a line of its own with a count of one and somebody owns it. The notes box does the rest: "mashed potatoes", "stuffing", "green beans", and you can see the gaps in the Signups tab before the day.
Send the link two weeks out, not the week of. People decide on a Thanksgiving dish early and shop the weekend before. If you already ran a fall potluck, Duplicate it, change the title and the date, and edit the items; the shifts and settings come with it. A church or an office that holds a Friendsgiving and a Thanksgiving dinner gets both from one sheet the same way.
The week of
The Signups tab on the event is the roster. Someone who phoned in a dish gets added with Add signup without touching the public form. Export CSV gives the kitchen a printed list with every note. On the night, open the Signups tab on a phone and tap Check In as people arrive. Managing Signups covers all three.
Next year
Nothing to rebuild. From Manifyst → Events, click Duplicate on the potluck, give it the new date, and you get a draft copy with the same shifts, items, questions and settings and an empty signup list. For a monthly potluck, create the event once as a Repeating event instead and every date gets its own sheet. See Recurring Events.
A potluck is the simplest sheet Manifyst runs. The same hour builds a volunteer shift schedule for a festival, an appointment night for parent-teacher conferences, or a committee roster. The Manifyst product page has the full feature list, and the documentation has a page for every screen named above.
